The following conditions apply from the date of this letter. When we receive confirmation of a booking from you, you are accepting these conditions for the use of our facilities at Liverpool Hope University. You are the person, organisation, or company booking the event at the University.

1. Booking Procedure

Facilities may be provisionally booked at the discretion of the Conference Office if requested by email, fax or letter. Facilities will only be reserved and confirmed by the Conference Office after receipt of the booking form. We reserve the right to cancel the booking if the event might prejudice the reputation of the University. A non-refundable deposit may be asked for before the event takes place.

2. Delegate Numbers

Delegate numbers stated on this booking form, or any greater that arrive on the day, will be the basis upon which the customer will be charged. You must give us the final numbers 7 days prior to the event, though you may increase this number up to 48 hours prior to the start of your event.

3. Room Changes

The Conference Office reserves the right to alter the allocation of rooms at short notice, especially if there is a shortfall in numbers.

4. Cancellations

Cancellation of the event must be made in writing and you will be charged the following amounts, which are based on an estimate for the event:

- Cancellation within 4-6 weeks the of date of arrival 50%

- Cancellation within 2-4 weeks the of date of arrival 75%

- Cancellation within 2 weeks the of date of arrival 100%

5. Charges

All charges will be invoiced after the event and are subject to VAT at the current rate. If you are exempt from VAT you must provide proof of exemption to the Conference Office at the time of booking. Cheques should be made payable to Liverpool Hope University and sent within 30 days of receipt of invoice.

6. Damage

You, the customer, will be liable for any damage to the room or furniture or equipment therein caused by your delegates, staff or visitors.

7. Corkage

If you wish to bring wines, spirits or soft drinks into the University for your event you must first get our written permission. You may be required to pay a corkage charge.

8. Advertising

If you wish to print details of the University in any advertisements, please obtain the University's written permission.

9. Suppliers

You will need our agreement if you wish to use outside suppliers of equipment, entertainment or other services.

10. Health & Safety

The Organiser must draw the attention of delegates to the need to become acquainted with all health, safety, fire and general instructions issued. Please note that furniture must not be moved where this would block or otherwise obstruct fire routes and exists. The University operates a non-smoking policy with which all visitors are asked to comply.

11. Liability

The University accepts no responsibility or liability for the loss, or damage to personal property belonging to customers and their delegates, or for cars and their contents.

12. Insurance

The organiser may wish to take conference insurance out for their event.

13. Cancellation by the University

The University shall not be liable for any loss or inconvenience or in any other way should it be necessary in exceptional circumstances for any booking to be cancelled on account of matters beyond its control e.g. Fire, flood, building work, etc. In such an eventuality, every effort will be made to rearrange the booking to a suitable date at the option of the customer or find an alternative venue to accommodate any booking.

14. Overnight Accommodation

The Organiser must distribute and enforce the University accommodation rules and regulations provided by the Conference Office. Failure to do so will lead to eviction and possible disturbance charges. Lost or unreturned keys will be charged to the Organiser at £20-30 per set.
